Room booking process

Applying for a room

To apply for a room and check availability, you must fill out the application form. with details such as contact data, stay dates and type of room. There is a limited number of rooms at EASO and by August we are usually fully booked.

Room booking confirmation

  1. Once we receive the application form, you will receive an automatic email informing that the request will be processed.
  2. Within 2 or 3 days, we will review the form and confirm availability.
  3. Whether we have rooms available or not, we will get back to you via email. If you chose a type of room in your booking request that is not available, we will offer an alternative, if possible.
  4. If the application is correct and the room is available, you will receive an email with the pre-booking number assigned and further instructions to proceed with the payment and booking of the room.
  5. To book a room at EASO, you must make a bank transfer to the account number specified in the email and then send us the bank receipt together with the pre-booking reservation number. All costs of the bank transfer must be paid in full by the student.
  6. As soon as we receive the bank transfer and proof of payment, we will confirm the booking by email.

Monthly payments

The whole monthly price of the room must be always paid in full -included month of arrival and departure- no matter on which date of the month you checked in and out.

    • Yearly stays (September-June): 1 month (deposit) + first monthly payment.
    • Summer stays (July and August): 1 week (deposit) + whole booking amount.


The deposit amount will be returned within fifteen days after the check-out, keys handover and room inspection by bank transfer to the bank account specified by the student.

Check-out: if the room is not in the same conditions as it was in the check-in, the student will not be entitled to a deposit return.

The student will not be entitled to deposit refund if he or she cancels the booking or in case of early departure.

Check-in and check-out

On the date of arrival the room will be available from 12:00 P.M. Upon arrival, the student must provide an ID/Passport copy and a picture. An accommodation agreement must also be signed by the student.

At the end of the stay the student must leave the room before 11:00 A.M. and hand over the keys to the supervisor. The student must leave his room clean, free of garbage and with the furniture and accessories in the same conditions as upon arrival.

Booking cancellations

If the booking is cancelled by the student either before or during the stay or if the student does not occupy the room, the student will not be entitled to a refund of the first monthly payment nor the deposit.

Booking extensions

Once the booking has been confirmed by EASO, the room is only available for the dates specified in the reservation, both arrival and departure dates. Therefore, in order to stay longer or arrive earlier, the student must send a new application form.

In case of arrivals prior to the check-in date, the start date of the stay will be changed as long as EASO has availability.

Delayed arrivals

In case of delayed arrivals, the amount of the monthly payment starts to run from the initial date of confirmation of the booking.

Early departures

In case of departures before the end date of the booking, the student is not entitled to a refund of the monthly payment nor the deposit.
